Vice President, Operations & Administration

Reports to: President & CEO
Position Type: Full-time, Senior Leadership Team (one of three Vice President-level roles)
Salary Range: $90,000 – $120,000, commensurate with experience
Location: Westmoreland County, VA (on-site)

About the Role:

Stratford Hall, a National Historic Landmark, seeks a strategic and hands-on Vice President, Operations & Administration to
lead the day-to-day operational and administrative backbone of the organization, with particular emphasis on financial,
facilities, grounds, and capital project stewardship. Reporting to the President & CEO and serving as a core member of the
senior leadership team, this role oversees sitewide facilities, landscapes, and security; oversees Stratford Hall’s business
operations (gift shop, hotel/lodging, private events, and festivals); and provides senior-level financial oversight, including
monitoring institutional budgets and directing the outsourced Controller. As Stratford Hall enters a period of significant
capital investment across its 1,800-acre campus, this position will serve as the primary point of contact for the organization’s
Owner’s Agent/Project Manager on large facilities projects.

Key Responsibilities:

  • Serve as one of three Vice Presidents on the senior leadership team, supervising the Director of Business Operations, Director of Landscapes & Security, and full-time Maintenance Technician.
  • Monitor and manage institutional budgets and provide senior-level oversight of the outsourced Controller and financial reporting function.
  • Oversee sitewide facilities, grounds, and security, including a proactive preventive maintenance program.
  • Serve as primary point of contact for the Owner’s Agent/Project Manager on capital projects; build and manage capital project budgets.
  • Oversee business operations across the gift shop, hotel/lodging, private events, and festivals.
  • Manage the contracted HR Consultant relationship and serve as a day-to-day point of contact for staff on HR and administrative matters.

Who You Are:

  • 5+ years of progressive senior leadership experience in facilities management, capital projects, operations, hospitality, or administrative management, ideally within a nonprofit, museum, cultural institution, or historic site.
  • Substantial experience managing institutional finances at a senior level, including budget monitoring and oversight of accounting/financial reporting staff or contractors.
  • Demonstrated experience budgeting for and managing large capital projects.
  • Comfortable serving as the organizational point of contact for an Owner’s Agent, Project Manager, architects, engineers, and contractors.
  • Experience supervising managers/directors, maintenance staff, and contractors across facilities, operations, finance, and
    administration.
  • Bachelor’s degree in facilities management, construction management, business/nonprofit administration, or a related field, or equivalent experience.

Gardener, Part-Time

Pay: $17.00 – $18.00 per hour

Job Description

Position Objectives: To maintain and care for the Historic Gardens and Grounds at Stratford Hall. This part-time position will mainly be responsible for the East Garden, which includes perennials, annuals, vegetables, trees and shrubs as well as turf grass. Additionally, working with the Grounds Team to keep the property safe and welcoming for all of Stratford Hall’s visitors.

General Statement of Duties:

  • Using best horticultural practices in transplanting, watering, fertilizing and soil management for vegetables, perennials and annuals
  • Professionally and safely use such equipment as push lawn mower, string trimmer, leaf blower, backpack sprayers and various hand tools
  • Pruning of ornamental trees and shrubs
  • Assists in greenhouse production for plant materials for the gardens and the annual plant sale
  • Maintains a safe work environment for staff, visitors and volunteers
  • Assists with public and private event set ups and break downs
  • Assists with snow and ice removal and other storm damage as needed
  • Performs other duties as required
  • Occasional weekend work will be required

Qualifications:

  • Basic understanding of best horticultural practices for public gardens
  • Proper use and maintenance of small engine equipment
  • Understanding of Integrated Pest Management
  • Understanding proper pruning techniques of trees and shrubs
  • Interact positively with public, volunteers and other staff members
  • Ability to work independently and with other team members
  • Valid driver’s license

Physical Requirements:

  • Ability to work in all types of Virginia weather.
  • Manual dexterity to safely and efficiently perform seed sowing, weeding and pruning
  • Ability to lift and carry up to 40 pounds

Interpretation Team Member (Part-Time)

Pay: $15 – $16 per hour

Position Summary: Stratford Hall Historic Preserve is seeking an engaging, adaptable, and collaborative Interpretation Team Member to help bring our site’s rich and complex history to life. In this dynamic, part-time role, you will be on the front lines of visitor engagement, supporting the Director of Education and Interpretation Team in delivering transformative K–12 programming, staffing the historic Great House, and ensuring the seamless execution of site-wide events. This is an excellent opportunity for an educator or history enthusiast passionate about sharing the diverse stories of the people who lived and labored at Stratford.

Key Responsibilities:

K–12 Educational Programming:

  • Facilitate hands-on educational stations, historical demonstrations, and guided activities for elementary, middle, and high school students.
  • Manage student group logistics to maintain smooth program flow and a high-quality learning environment.
  • Assist with the setup, breakdown, and organization of K-12 programming spaces and materials.

Visitor Engagement & Event Operations:

  • Staff the Great House during visitation hours, seasonal programs, and special events to welcome, direct, and assist guests.
  • Provide essential logistical support for large-scale public programs and workshops, from preparing activity stations to managing visitor flow.
  • Maintain the inventory and organization of educational supplies before, during, and after events.

Administrative & Cross-Department Support:

  • Assist with basic program administration, including attendance tracking and material preparation for upcoming outreach initiatives.
  • Provide support for other site areas as needed, including Visitor Center and Gift Shop staffing.

Physical Requirements:

  • Ability to stand for extended periods, navigate uneven historic terrain, and lift/carry up to 25 pounds of educational materials.

Desired Qualifications:

  • A demonstrated interest in education, history, public history, museum studies, archaeology, or a related field.
  • Prior experience working with children, student groups, or public audiences is highly preferred.
  • Strong interpersonal and communication skills, with a welcoming, professional, and approachable demeanor.
  • A collaborative mindset with the ability to work effectively within a team environment.
  • Flexibility to assist with occasional evening or weekend events as programming requires.

Schedule & Commitment: This is a part-time role with variable hours driven by seasonal programming needs. Candidates can expect an average schedule of four days per month during the slower seasons, with additional hours required and available during peak K-12 field trip windows and large public events. This position reports to the Director of Education.

Hospitality Associate (Part-Time)

Pay: $14 – $15 per hour

Position Summary: Stratford Hall Historic Preserve is seeking a dependable, detail-oriented, service-minded Hospitality Associate to support visitor experiences across events, lodging and retail operations. This part-time position plays a key role in ensuring visitors receive exceptional service across the organization. The ideal candidate enjoys collaborating with others, is adaptable to changing priorities, and is committed to providing exception hospitality in a historic and mission-driven site, Stratford Hall.

Key Responsibilities:

Lodging Reservations & Visitor Services:

  • Answer inquiries regarding lodging accommodations and availability
  • Process reservations, confirmations, and visitor communications
  • Assist with visitor check-in and check-out procedures
  • Coordinate with housekeeping and maintenance staff to ensure visitor readiness
  • Respond promptly and professionally to visitor questions, requests and concerns

Gift Shop Operations:

  • Operate the point-of-sale system and process retail transactions
  • Assist visitors with merchandise selection and product information
  • Restock inventory and maintain attractive merchandise displays
  • Ensure the Gift Shop remains clean, organized and welcoming

Event Support:

  • Assist with event set-up, execution and breakdown for public programs and private events
  • Welcome visitors and provide event information and wayfinding assistance
  • Support ticketing and visitor check-in processes
  • Maintain event spaces to ensure visitor readiness appearance
  • Assist staff with event logistics and visitor needs during events and programs
